What needs planning before moving business phones to a cloud or hybrid system?

THE SHORT ANSWER

Plan number arrangements, connectivity, call routing, devices, integrations and continuity. Confirm service availability and applicable local requirements with the authorised provider. A phone migration affects customer access to the business, so test critical call journeys before cutover.

Inventory the calls that matter

List published numbers, departments, queues, reception workflows and out-of-hours handling. Include unusual cases such as escalation lines and shared devices. Ask staff to demonstrate how they transfer and return calls today.

Check network readiness

Voice quality depends on the network path, available capacity and device configuration. Test from the actual office and remote locations. Confirm how calls behave if the main connection or power fails.

Verify integrations and responsibilities

Review directory, CRM and recording requirements individually. Confirm licences, data handling and support boundaries. A feature shown in a product demonstration may require additional configuration or commercial services.

Stage the cutover

Agree number changes or transfers, routing tests and a rollback or contingency plan. Check inbound and outbound calls, transfers, voicemail and important queues. Provide a short user guide before staff begin using the new system.

Choose the design around the business's calling needs and supported local services. A cloud or hybrid label should not replace a clear continuity plan and ownership of ongoing administration.
