How should a SharePoint knowledge space be organised?

THE SHORT ANSWER

Organise it around the tasks people need to complete, with clear content owners, permissions and review responsibilities. A useful knowledge space helps employees identify the current approved answer, rather than simply giving every existing folder a new location.

Start with common employee tasks

Identify what people search for: policies, project documents, forms or operational guidance. Group content using language the intended users understand. Test the navigation with employees who did not help design it.

Make the authoritative version clear

Assign an owner to important documents and decide how superseded material is handled. Use consistent titles and metadata where helpful. A search result is less useful if the employee cannot tell which version should be followed.

Keep access intentional

Map permissions to working responsibilities. Review inherited access and broad sharing before migration. Avoid using folder complexity as a substitute for a clear permission model.

Plan the publishing routine

Define how a document moves from draft to approved content and how changes are communicated. Set review intervals that reflect how quickly the information changes. An intranet becomes unreliable when nobody owns maintenance.

After launch, examine unsuccessful searches and repeated employee questions. Use that evidence to improve labels and missing guidance. Moving files is only the first step; maintaining a useful information structure is ongoing work.
